EyeMail brings innovation to email marketing, grows 71 percent in two years with Microsoft 365

Delivering an effective marketing message through email has always been challenging, but email remains a preferred channel to communicate with customers. EyeMail Inc. technology helps organizations overcome this challenge and build a connection with their customers through videos that automatically play in email messages. The videos increase engagement and deliver storytelling moments in the inbox. EyeMail’s patent-pending technology compresses high-quality 4K videos down to 15 kilobytes to deliver compelling video-in-email experiences, helping organizations bring their marketing messages to life.

Founded in 2004 in Atlanta, Georgia, EyeMail has partnered with Microsoft for technology support and business development initiatives. “Soon after launching EyeMail, I attended a Microsoft conference on women in technology and began building the strong partnership we have now,” explains Lisa S. Jones, Founder and Chief EyeMail Officer (CEO) at EyeMail Inc. “We were later invited to receive Microsoft Technology Center support to collaborate with senior architects and developers as part of a Microsoft supplier diversity initiative to mentor best-in-class technology startups in Atlanta. Knowing that we had access to global thought leadership and support to develop our technical roadmap gave us an elevated sense of purpose and a lot of confidence to expand the company.”

Organizing processes with a unified platform

EyeMail first adopted Microsoft 365 in 2008, using the Microsoft 365 Business Basic plan, which is tailored for small businesses just getting started. It has since upgraded to Microsoft 365 Business Premium to take advantage of the more advanced management and security capabilities and better support for global collaboration. “By adopting Microsoft 365, EyeMail established a more efficient and collaborative work environment,” says Jones. “This helped us increase productivity, reduce errors, establish a robust security framework, and improve communication among employees.”

Initially, EyeMail used Microsoft 365 to consolidate and simplify its file storage and meeting capabilities onto a single platform. Like many small businesses, EyeMail had a variety of solutions that didn’t always work well together. “Team members used their own favorite cloud services, but it no longer worked as we grew, and we had to choose the best option,” says Michael Moore, Head of Client Services at EyeMail Inc. “Consolidating on one platform with Microsoft 365 was so much better for our processes and our growth.”

The company’s customers send large video files to EyeMail, which encodes and compresses the files to fit into an email delivery format. Storing these files in multiple systems and on local hard drives caused EyeMail to spend a lot of time finding and accessing content. Jones says, “Microsoft 365 provided us access to cloud-based storage and sharing capabilities so that we could access documents and files from anywhere, at any time. This was a big win because we could manage access to all the videos more efficiently.”

Building credibility through efficiency and reliability

Today, with Microsoft 365 fully integrated into its processes, EyeMail has optimized its customer operations to deliver managed services projects 40 percent faster. “Because we’ve refined our processes down to three days, we’ve built credibility with our customers that we can handle anything they share with us,” says Jones. “Requirements can change in a second. When a customer wants to pivot in a new direction, it’s amazing how easily we can use Microsoft 365 to connect and quickly adapt to stay on schedule.”

EyeMail employees communicate with customers around the globe, participating in whiteboarding sessions and quickly creating project plans. Whether using chat in Microsoft Teams or large meetings bringing the customer and design teams together, they find Microsoft 365 reliable, easy to use, and accessible. With a diverse workforce and global customer base, EyeMail appreciates the accessibility features in Microsoft 365, such as closed captioning and Immersive Reader.

Customer-facing employees aren’t the only ones taking advantage of Microsoft 365. Everybody at the company uses Teams to meet and Microsoft 365 Apps to collaborate on documents. “We’re all about engaging our customers, so we really appreciate how simple PowerPoint makes it to create high-quality marketing materials to present our brand,” says Jones. “Even for key documents like contracts, non-disclosure agreements, and statements of work, we use Microsoft 365 to work together efficiently.”

Increasing engagement and security

EyeMail’s focus on engagement extends to its own employees. The company embraced Microsoft Viva, the employee experience platform in Microsoft 365, and uses it to continuously engage and motivate the company’s teams. For example, EyeMail made Viva Learning an integral part of its employee onboarding process. “We easily set up courses through Viva Learning for new employees to speed onboarding,” says Jones. “And because most are familiar with Microsoft 365 from their daily work in prior positions, we can focus the training on our processes rather than on our technology tools.”

The company’s leaders particularly appreciate the built-in security that comes with Microsoft 365. Working with global brands on new marketing concepts requires high levels of security. Enterprise companies are comfortable partnering with EyeMail because it uses Microsoft 365. “We use the entire range of Microsoft 365 security and compliance solutions, including data encryption, access controls, and threat detection and response,” says Jones. “With Microsoft Defender, we have a prebuilt security solution that comes with default settings to help cover the biggest threats.”

Managing these security solutions and the overall Microsoft 365 environment is so straightforward that EyeMail needs only one person for IT support—and that person only spends about 40 percent of their time on Microsoft 365. They spend the majority of their time on innovating new product technology.

Staying focused on growth and innovation

EyeMail has grown 71 percent in the last two years alone, earning a spot on the Inc. list of fast-growing small companies in the US Southeast region for 2023. Jones feels that Microsoft 365 has played an important role in supporting this growth.

“Adopting Microsoft 365 multiplied our productivity, enabling us to take on more customers, and at the same time, raise our quality standards to serve our customers more effectively,” says Jones. “By operating so efficiently, we can spend more time creating compelling new ways for our customers to inspire conversation and engagement.” This innovation will help EyeMail grow rapidly as it continues to expand as a global brand.
