Entity Administrators can invite users with or without a SAM.gov user account to get a role with their entity in SAM.gov.
Go to the User Directory in your Workspace to assign a role. You can enter any email address to invite someone to get a role. When the user signs into SAM.gov, the system will provide prompts to complete the role assignment. If the user already has a SAM.gov account, they can accept the role.
To assign roles in SAM.gov:
- Select Sign in in the upper right corner of SAM.gov.
- From your Workspace, scroll down to the User Directory widget in the Reference Services section. Select Assign Role to start a role invitation or select See All to view the full user directory.
- If you select the See All button, the user directory opens. You can view all the users in your organization who have a role and you can access the Assign Role in the top right corner.
- Complete all fields to assign a role.
- Email address: Email of the user needing to have a role added.
- Entity Affiliation: Select Employee, Officer, or board member if they are directly affiliated with the entity. If they are a third party not directly tied to the entity, select Not an employee, officer, or board member. (This will assign the data entry role to the user.)
- Entity Selector: The Unique Entity ID , CAGE, or legal business name to identify the entity being linked to the new account.
- Role and Domain: For non-federal entities, a user can have one role (KB0040696) in each of the three domains:
If you want to assign more than one role to a user, you must complete a separate request for each.
- Entity Registration: Able to make updates or edits to an entity registration data in SAM.gov
- Entity Reporting: Able to complete any Service Contract Reports or BioPreferred Reports required in SAM.gov.
- Contract Opportunities: Able to request access to controlled or restricted attachments on solicitations in SAM.gov and add their entity to the Interested Vendor List (IVL).
- Business Justification: The reason the role invitation is being sent (This is what the user will see when they review the role invitation.)
- Once you send the invitation, the user receives it by email.
As an Entity Administrator, you can confirm acceptance or rejection of your role invitation by selecting Requests in the top right corner of your Workspace.
